Job Description

The Office Administrator will serve Maranatha to help the staff and the different ministry needs that will support the overall function and activities of the church. This will include managing the daily administrative tasks, office operations, communications and correspondence of the church to support the vision and mission of our church. The duties of this position will be directed by the pastoral staff and the needs of the ministry teams. This position is often the first person the public talks to or sees during the weekday hours, thus the office administrator must be professional and friendly as he or she represent Christ and our church.

Professional

  1. Be highly organized, detail-oriented and able to manage time and priorities well while maintaining a high standard of excellence.
  2. Demonstrate proficiency with Microsoft Office and Publisher along with a willingness to learn other computer programs and adapt to new technology.
  3. Be proficient in verbal and written clerical communications including editorial and publishing skills.
  4. Professional, courteous and friendly while also able to end conversations when necessary to get tasks done.

Description of Responsibilities

Ministry Functions

  1. Support the pastors, staff, ministry leaders and laypersons in the accomplishment of the church’s mission by providing administrative help in executing and accomplishing the logistical needs required to fulfill the ministry goals.
  2. Greet visitors, members and service technicians as they enter the building and assist them as needed during office hours.
  3. Operate and maintain all office equipment including copiers, computers, printers and other equipment and schedule maintenance or service as necessary.
  4. Maintain sufficient office supplies for upcoming events and the regular needs of the ministry activities and programs of the church.
  5. Utilize church management software to accurately maintain membership records.
  6. Manage the office budget with sound fiscal management and good stewardship.
  7. Compose weekly bulletins, monthly missionary prayer calendars and emails/letters as requested; prepare and distribute weekly staff meeting notes and annual reports.
  8. Keep an up-to-date master calendar of events for all church activities, including scheduling the use of church facilities.
  9. Maintain records of baptisms, dedications, weddings, membership and attendance.
  10. Support ministry team leaders to help accomplish their ministry goals/objectives.
  11. Assist pastors and staff in administrative duties that include creating necessary documents and up-to-date forms, and matters related to safety/liability, and compliance with legal and insurance guidelines.
  12. Serves as contact person for rental groups using church space and keeps track of all borrowed equipment.
  13. Gather and share prayer chain information when requested.
  14. Place online orders and make local purchases when requested.
  15. Maintain and stock current publications and brochures in the lobby.

General Expectations:

  1. Maintain regular office hours.
  2. Attend weekly staff meetings and participate in the life and worship of the church.
  3. Work in a cooperative team relationship with the staff, ministry teams, elders, and members/attendees of the church.
  4. Perform other duties as assigned by the senior pastor that contribute to the administration and life of the church.
  5. Be in agreement with the doctrines and distinctives of the EFCA and maintain an active membership with Maranatha Evangelical Free Church.

Accountability

  1. The office administrator will be under the direction of the senior pastor and the authority of the elders.
  2. The office administrator will undergo a written evaluation by the senior pastor once per year.

About this Church

Maranatha Evangelical Free Church is located in Rice Lake, Wisconsin. We have been in the community for 80 years and currently have about 250 people coming on a Sunday for our church services. We are known in the community for being a solid Bible-teaching church. We are also well known for ministering to people in need. We are a regional church where many from our local and surrounding counties travel to be a part of our church community.
